Equipment rental required a traceable process across several stages
An energy equipment rental company needed to manage generator purchases, inspections, rentals, and returns. Each stage required information to be captured and, in some cases, reviewed or approved. The workflow also needed to generate records and notify the people involved.
We implemented a solution using Power Apps, SharePoint Lists, and Nintex.
One process from purchase through return
Power Apps provided the interface for entering and editing equipment information. SharePoint Lists held the operational records. Nintex supported approvals, PDF generation, and notifications.
The workflow covered the lifecycle described in the source: a generator was recorded when purchased, tracked through inspection before rental, and recorded again when returned. Reports were generated at relevant stages, and approval steps helped maintain control over the process.
The value came from connecting data capture and workflow actions. Instead of relying on separate records and manual follow-up, the process could move through defined stages with supporting documents and notifications.
What to define before automating a rental workflow
Identify the equipment identifiers, required inspection fields, approval responsibilities, conditions for releasing equipment, return checks, and documents needed at each stage. Also decide which information must be visible to field staff and which actions need an audit trail.
If equipment moves through multiple teams and checkpoints, a Power Platform workflow can help organize the process around shared records and defined approvals.
